We are looking for a Donor Database Coordinator for our Home Office (Dana Point, CA) and an Associate City Director for our Philadelphia site. These individuals will assist in fulfilling our corporate mission of “providing students and adults with an effective urban ministry experience that transforms lives, influences local churches and honors Christ.”
Donor Database Coordinator
- Purpose: To assist the Director of Operations by leading and growing CSM’s Home Office Database systems
- Time Frame: Start Date: Immediately, 25-30 hours/week
- Responsibilities:
- Donor Database (DB) Maintenance
- Enter and reconcile all donations into Donor DB
- Assist organization in transition to online Donor DB system (ETapestry)
- Perform back end administration tasks to support city staff by providing reports and mailing lists
- Follow accounting procedures for money handling.
- Online Registration Database Assistance
- Act as back up in the registration process and maintenance of Online Registration DB
- Reconcile trip payments and add to bank deposit
- Maintain CSM’s internal calendar through Online DB
- Run reports as requested
- Seasonal Staff Administrative Assistance
- Create and maintain files for hired Seasonal Staff
- Track required paperwork
- Send out required reading, mentor letters and reentry information
- Run and print background checks for seasonal staff
- Maintain online Seasonal Staff Grid as necessary
- Miscellaneous Tasks
- Maintain info@csm.org email account
- Be second up on the Home Office phone
- Run daily back-ups of network, QuickBooks, website and budget data
- Transfer website changes from Director Of Communications
- Maintain data consistency between Online Registration DB, Donor DB and Constant Contact (email marketing)
- Set up and maintain internal computer network as needed
- Complete bank deposit:
- Calculate donations, trip fees and miscellaneous checks for Deposit Form
- Complete bank deposit slip, take deposit to bank
- Compile deposit paperwork and submit to bookkeeper
- Assist the Director of Operations as requested
- Qualifications:
- Has a passion for Christ and a desire to serve Him - please read about our statement of faith and mission;
- Has a passion for missions, particularly in an urban setting;
- Ability to understand and work with people of diverse urban cultures toward a common goal;
- Proven track record of being a “self starter”;
- Experience with working in a small office, ideally in a non-profit/ministry setting;
- Ability to manage and organize details;
- Experience and knowledge in Microsoft Office Suite (including Access) and Google Apps. Additionally, experience in ETapestry Donor Database systems and HTML a plus;
- Ability to work from home (available internet access);
- Able to spend extended time seated at a desk and in front of a computer; and
- Be available for other duties as requested from the president or chairperson of the board.

Associate City Director
- Purpose: To assist the city director to lead and grow one of CSM’s sites.
- Time Frame: Start Date: Fall 2010, approximate 2 year commitment
- Responsibilities:
- Schedule groups at ministry sites and restaurants;
- Communicate schedules and details to leaders of serving groups and city hosts;
- Use “Scheduler Builder” to create and edit all trip schedules;
- Host groups during their time in the city by:
- Orienting them to the city and CSM rules and guidelines;
- Framing each ministry site, restaurant and activity;
- Guiding them to each site and restaurant; and
- Facilitating their entire schedule and leading evening discussions and debriefs to help them process their experiences;
- Follow accounting procedures for money handling.
- Assist to maintain and develop relationships with ministry sites and ethnic restaurants:
- Deepen relationships with present ministry sites by visiting and volunteering regularly when available and
- Be the liaison between the ministry sites and groups.
- Assist to train and manage seasonal staff:
- Share weekly site visits with City Director;
- Engage in mediation of conflict, when needed;
- Assist in the recruitment and interviewing of seasonal staff candidates;
- Explain and advise weekly schedules to seasonal staff; and
- Be available to seasonal staff during on-call hours.
- Other:
- Assist to maintain appropriate written materials for the project, i.e. maps, devotionals, rules, etc.;
- Assist in food and supplies shopping; and
- Conduct pre-visit trips for group leaders.

- Enjoys working with suburban and rural youth;
- Awareness of cultural differences and a desire to relate cross-culturally;
- Is independent and a self starter (but can work on a team);
- Has leadership experience;
- Has a high level of commitment to CSM site and ministry;
- Good administrative, supervision and organizational skills;
- High level of problem solving skills; and
- High level of commitment to CSM site and ministry.
- Salary:
- Negotiable, with a fundraising goal (depending on the package). Health Insurance and other benefits are also provided. Most of our full-time staff raise up to ½ of their salary package.
